How to Import Gmail Emails, Contacts, and Calendars to MS Outlook?

    In order to import your mailbox data from Gmail to Windows Outlook, you'd need to use Google Takeout – a free service by Google that allows you to export and save a local copy of different mail items like emails, contacts, calendars, etc. on your computer.

    When you export Gmail emails, contacts, and calendars, they are saved as MBOX, VCF, and ICS files, respectively. You can directly import the .vcf (contacts) and .ics (calendars) files in Outlook desktop app. However, there is no way to import MBOX files directly into Outlook as it doesn’t support the .mbox format.

    Note: As per Google, for Gmail users having a personal account, the option to select “Enable IMAP” or “Disable IMAP” is not available starting January 2025. IMAP access is always turned on by default. So, users aren't required to take any action.

    • Open Microsoft Outlook on your Windows PC.
    • Select File > Add Account under Account Information.
    • Enter your Gmail email credentials in the Auto Account Setup window. Click Next.

    • It only syncs emails and attachments. No contacts or calendars are synced with Outlook.
    • It is dependent on the source Gmail account. If the account is removed, deleted, or the password is changed, Outlook will stop fetching new emails and updating the configured user account.
    • Large mailboxes may take significant time to synchronize.
    • Performance can slow when handling very large folders (>5GB).

    Method 2 - Import Gmail Contacts & Calendars in Outlook

    A simple way to import Gmail contacts and calendars to MS Outlook is to export them from within Gmail. The exported files are saved in file formats – such as vCard (.vcf) and iCalendar (.icf). Here's what to do:

    Part 1: Export Gmail Contacts and Calendars

    • Go to contacts.google.com and login using Gmail credentials.
    • You'll see your contacts list.
    • Click on the Export icon.

    • Select the vCard file option and click on Export.
    • Similarly, go to calendar.google.com and download calendar/s in .icf file:
    • Click on Settings.
    • Go to Import & Export > Export.

    • A .zip file fill be downloaded on your system. Extract it to see the .icf file.

    Part 2 - Import the Gmail Contacts/Calendar Files (.vcf/.icf) into Outlook

    Now, launch Outlook on your PC and use the Import/Export wizard to import calendard and contacts in it. Use Import from VCARD file (.vcf) for contacts and the Import an iCalendar (.ics) or vCalendar file (.vcs) option for calendars.

    How to Import Google Takeout (Gmail) Emails, Contacts, and Calendars to Outlook?

    You can also use Google Takeout to export the required data like email messages (w/attachments), calendars and contacts. It saves the data in a .zip archive, which you can extract to see the “Takeout” folder.

    Here are the steps to export Gmail emails, contacts and calendars using Google Takeout:

    • Go to takeout.google.com and login using your Gmail credentials.
    • You’ll see a list of various items associated with your Google account.
    • By default, all items are selected. Deselect them and then select Mail, Contacts, and Calendars.
    • Click on All Mail data included. It will display the mailbox folders that are selected by default.
    • In the Choose file type, frequency & destination step, select the Transfer to “Destination” using the given dropdown list.
    • After this, select the Frequency and File type & size. Then, click on Create export.
    • You will receive an email on your Gmail account stating that your “Google data is ready to download.” Open it and click on the given link to download the exported data.
    • It will download a .zip file. Extract it and open the folder named “Takeout” to view the exported mailbox data in separate folders.

    Here, you'll find:

    • Calendars folder with iCalendar file/s and Contacts folder with vCard file in them. You can directly import them into Outlook (as shown in Method 2).
    • Mails folder contains the MBOX file. This file format is not compatible with Outlook; and so you won't be able to import it directly into Outlook.

    This manual method can help you export Gmail emails, contacts, and calendars from a single platform; however, it has some limitations:

    • It is a lengthy and time-consuming method.
    • You can only sync contacts or calendars directly with Outlook using the exported files (.vcf and .icf files)
    • It may take up to 48 hours to receive the download link from Google Takeout.
    • It exports emails as an MBOX file which cannot be directly imported into Outlook. You’ll need to convert it to PST first.
